Editing Your Layouts
Note: Always make a backup copy of Claims Printing before changing any layouts!
If you are not comfortable with changing layouts, we will be happy to
do it for you but you will be charged for this service (it is not
included in Level 1 or Level 2 technical support). You are given
access to these layouts
in the hope that you will not need these services. Those with Level 3 technical
support will receive this service at no additional charge.

It is recommended you do not
change the layouts that print to plain paper (HCFA laser or ADA laser)
unless you know exactly what you
are doing. Changing printable layouts would only be needed if the data
printing on the claim form is missing its area completely. If you ever
change printers, you may very well need to change the forms as each
printer has a different "printer driver".
Claims Printing supports both inkjets and laser printers.
However, depending on the preprinted insurance forms you use (HCFA,
ADA, etc.), you may need to change the alignment of the fields on these
layouts! If we ever need to upgrade this module for you, you will have
to transfer (copy and then paste) the layout of your old module into
your new module (sorry).
Editing
Techniques
If you are not familiar with
FileMaker Pro's page layout features and editing techniques, tread
carefully here! If you are unfamiliar with these techniques, its a good idea to play with
some of the templates that come with FileMaker Pro 5.5 and practice moving fields,
place new fields, changing font sizes, etc. You may also want to pick
up a copy of FileMaker Pro for Dummies (IDG books), a wonderful book that
gives an overview of FileMaker and an explanation of relational
database terminology.
The
Edit Screen
Click on Edit
Layouts (it is the third button on the top right section). You
will be taken to the Edit screen. Carefully read the directions
that are on this screen before leaping in to modify the layouts.
Select the layout you wish to
modify from the list and then go into Layout
mode by using the Mode menu
pop-up at the bottom of the screen (it says Browse in the left
graphic below). See

- HCFA dw1
and HCFA dw2
are used
to fill in HCFA forms using an inkjet printer. These are set up to
print on pre-printed forms. If you have Inkjet selected as your printer
and HCFA
fill-in as the
form, these pages will automatically be selected for printing. HCFA dw1 is the
layout for single-page forms (up to 6 charges) and HCFA dw2
is for multiple-page
printing (more than 6 charges on a claim). Use these forms if you will
be using a dot-matrix printer.
- HCFA LzrFill1
and HCFA
LzrFill2 are
used to fill in HCFA forms using a laser printer. These are set up to
print on pre-printed forms. If you have Laser selected as your
printer and HCFA fill-in as the form, these
pages
will
automatically be selected for printing. HCFA
LzrFill1 is the layout for single-page
forms (up to 6 charges) and HCFA
LzrFill2 is
for multiple-page printing (more that 6 charges on a claim).
- HCFA Complete1
and HCFA Complete2 are used to print HCFA forms to blank
paper using a laser printer
only.

print your Blue

fills
in the PA Blue Shield Vision
form.
- Layout5-
prints
the current ADA form to blank
paper using a laser printer. If you have
a high quality inkjet printer, you can use this form with little or no
modification.

fills
in the Medical Services Invoice
(based on the Commonwealth of
Pennsylvania Department of Public Welfare form MA319C) pre-printed
form.
- Layout7-
prints
Champus form DD Form 2642, OCT
93 to blank paper using a laser printer.
If you have a high quality inkjet printer, you can use this form with
little or no modification.
Layout
Features
On the top of most layouts
there is a
non-printing area with several buttons and fields. As you can see from
the picture below it says, “This area does not print and all
elements are locked”. In Layout
Mode you can move this block around as needed but NEVER,
EVER, NEVER, EVER delete it. If
you do, copy the same area from another layout and paste it back.
You must be in Browse mode to
use the buttons or fields. Print
prints the current layout so you
can
check field placement and Edit
returns
to the Edit screen. There are
also several fields that can be used to find subsets of claims for
printing by hand.
Test
If you check "Yes" all fields of the current invoice
will be filled with some sort of data to help you align the fields.
- After you have aligned your form,
be sure to uncheck it.
- Delete gets a value of “1” when a claim
has been printed!
- Form Type
is the code for the type of claim form to be used. 1 is HCFA fill.
- Count LIFS
is the number of "line items" on the claim!
- Last Print Date show the last date this claim was
printed and is updated when a claim is printed.
Once you believe the fields
are aligned,
you can print the current
layout. If you print from one of the multiple page layouts (HCFA dw2, HCFA LzrFill2 and HCFA
Complete2) you will
notice that the charges do not print. This
is NORMAL! These layouts are very special so do not worry if they do
not print during a test!
Single
vs. Multiple Page Printing
If you make field alignment changes on the single page layouts (HCFA
dw2, HCFA LzrFill2 and HCFA
Complete2) you will
need to make identical pages on the multiple page layouts as well (HCFA
dw2, HCFA LzrFill2 and HCFA
Complete2). Otherwise the multiple page forms (7 or
more charges) will not be aligned and you will become very frustrated
and we will get a phone call from you saying, "The changes I made to
the claim form 'did not stick'!".
